CASE 02 / SYSTEM
From paper and Excel to a system that operates.
| Industry | Real estate business (rental brokerage and management, 25 employees) |
|---|---|
| Request | New development of property management system |
| Period | January 2024 – July 2024 (6 months, MVP revealed) |
| Scale | 4,200 Properties / 25 Users |
“When I got an estimate from a major SIer, I was told that it was 30 million yen, and we couldn’t give it to him.”
The consultation began with this sentence.
1. challenge
Property information, contract management, and rent collection tracking were all operated using paper ledgers and Excel files. Files are distributed among employees, and it is often unclear which version is the latest version. In addition, the amount of revenue opportunity lost due to oversight of contract renewal was an amount that could not be overlooked during the year.
2. approach
We gave up on “creating all functions at once” and proposed an MVP approach that develops in stages from areas with high business impact.
| Phase | Period | Contents |
|---|---|---|
| Phase 1 | 2 months | Property Master + Contract Management |
| Phase 2 | 2 months | Rent Payment Management + Delinquency Alerts + Contract Renewal Reminders |
| Phase 3 | 2 months | Reporting function + LINE integration |
3. Results
- Total development cost: Approximately 1/4 of SIer estimates to complete MVP
- Reduced business hours: 40 hours → 8 hours of monthly closing work
- Revenue improvement: Zero missed contract renewals (avoiding lost opportunities equivalent to 6 million yen per year)
- On-site acceptance: Not a single staff member said they wanted to go back to Excel
4. Customer’s voice
“When I was honestly told at first, ‘I can’t make everything all at once,’ I thought I could trust him, and I felt much more secure than the ‘I can do anything’ from a major SIer.”
